Your equipment file

Build your record.

Use the label, manual and actual service documents. Leave anything uncertain blank.

One component per record
01 Identify the equipment

Exact details make the next part or service easier to find.

02 Record the service

Keep completed work separate from planned work.

03 Set the next action

Use the equipment instructions or your provider’s service plan.

Ready to keep a copy?

Choose “Save as PDF” in your browser’s print destination, or select your printer.

A maintenance record documents equipment care. It does not certify drinking-water safety. Keep actual laboratory reports with your household file.

Make the record useful

Three habits. Less guesswork.

01 / KEEP THE EXACT DETAILS

A model number beats a description.

“Under-sink filter” is a starting point, but the model and specified cartridge tell the next person what to look for. Copy accessible labels, then check the manual. Keep a receipt or label photo with your saved record.

Identify unfamiliar equipment

02 / LOG WHAT HAPPENED

Completed work belongs in the past tense.

Write the service date, task, installed part and who did the work. Keep the service receipt and laboratory results as separate documents. A new cartridge records maintenance; it does not establish every treatment claim.

Understand treatment checks

03 / NAME THE NEXT TASK

Give the reminder a purpose.

Write “check the specified cartridge limit” or the actual task from your service plan. Add who will do it and any unanswered question. Use the equipment instructions for the interval, then update this file after the work is completed.

Equipment record FAQs

How do I save my water equipment record as a PDF?

Fill in the details you know, then choose Print or save PDF. In the browser print dialog, select Save as PDF as the destination. You can also print a blank record and complete it by hand.

Does HandyTrail save the information I enter?

No. This form does not send your entries to HandyTrail or store them between visits. Save a PDF or print your record before leaving the page. Your browser may retain form entries temporarily, so clear them on a shared device.

Should I make a separate record for each filter or softener?

Yes. Use one record per component so model numbers, replacement parts and service dates stay together. A filter, softener and UV unit may have different instructions and maintenance schedules.

What if I do not know the replacement part or service date?

Leave the field blank and note the question under Next action and open questions. Check the exact model manual or ask the manufacturer or service provider. Do not guess a compatible part from its appearance.

Does a completed maintenance record prove the water is safe?

No. The record documents equipment and completed work. Keep actual water-test results separately and follow the relevant local testing advice and equipment instructions.

Keep the record with the evidence.

Store your PDF or printed copy alongside manuals, receipts and actual water-test reports.
